Job Summary

The Financial Aid Advisor supports the daily operations of the Financial Aid Office at Nova Academy’s Rochester campus. 

This unique opening allows for limited time on-site in Rochester, Minnesota. 

The starting rate is $50,000 but based on relevant experience can increase. 

This role provides guidance to current and prospective students throughout the financial aid process, ensuring timely, accurate, and compliant processing of aid packages. Responsibilities include maintaining student records, processing applications, and supporting institutional, state, and federal aid programs. As experience grows, the Advisor will take on increased responsibilities and work with greater independence.

Key Responsibilities

  • Counsel students and prospective students on available financial aid programs (grants, loans, scholarships)

  • Assist with financial aid applications, ensuring accuracy and completeness

  • Determine eligibility and award financial aid packages

  • Maintain up-to-date and accurate financial aid files, including:

    • Budget worksheets, MPNs, verification documents, Professional Judgments, State Grant documentation, packaging worksheets, and living expense records

  • Manage second-year aid follow-up, including new MPNs and updated awards (Pell, State Grant)

  • Ensure all documents are properly signed and securely filed

  • Monitor student clock hours and academic performance to ensure Satisfactory Academic Progress (SAP)

  • Submit Requests to Pay (RTPs) and collaborate with the Business Office to track payment plans

  • Complete Return of Title IV Funds, state fund returns, and institutional returns when necessary

  • Complete weekly stipends and credit balance worksheets, ensuring all aid is coming in as expected

  • Order financial aid forms and maintain office supply inventory

  • Distribute updated policies and procedures to students and staff

  • Assist in writing and maintaining financial aid policies, including Title IV and NACCAS compliance

  • Support form and procedural updates as regulations change

  • Prepare statistical reports periodically or upon request

  • Assist with annual year-end financial aid close-out

  • Organize and securely destroy student files after the required holding period

  • Provide accurate, courteous support to students and staff

  • Understand and apply federal and state regulations related to financial aid

  • Perform data entry and financial calculations with speed and accuracy

  • Maintain confidentiality and professionalism in all student communications

  • Work independently, meet deadlines, and adapt to changing regulations

  • Use internal systems and tools efficiently to process and track financial aid

  • Collaborate effectively with internal departments and external agencies

Qualifications

  • Some college coursework required (Associate's degree or higher preferred)

  • Experience in financial aid, accounting, banking, or related field preferred

  • Strong data entry, recordkeeping, and math skills

  • High attention to detail and organizational ability

  • Excellent interpersonal and customer service skills
